The primary responsibility of the Project Manager is to manage all client projects through their project lifecycle including scoping, estimating + developing initial timelines, as well as managing ongoing budgets and work-back schedule updates.  The PM acts as the Agency’s internal advocate to facilitate consistent communication between the agency’s Creative, Planning, Media, Production and Account Services teams, ensuring execution of deliverables is in alignment with the agency’s workflow, as well as the client’s overall program schedules and budgets.

Additionally, the PM manages their project transactions + budgets weekly, maintaining awareness of overall project profitability and making recommendations for improvement.


  • 2+ years of related experience
  • Preferred Bachelor’s degree in related field

Essential Duties

  • Maintains basic knowledge of agency campaign workflow
  • Maintains deep knowledge of agency project workflow
  • Agency advocate during internal communication
  • With Resource Manager, keeps work flowing past bottlenecks
  • Manages all projects on-quality, on-time, and on-budget
  • Responsible for the consistent, successful facilitation of projects from estimation through launch and maintenance
  • Ensures vendor quotes align with project budgets
  • Monitors project budgets and schedules daily
  • Proactively catches scope creep
  • Accountable for staying within agreed upon budget and informing all parties of any changes to scope/assumptions/issues that arise
  • Manages and updates ongoing project work-back schedules
  • Identifies and proactively resolves any deliverables that might fall behind schedule
  • Manages tactical quality of all client deliverables
  • Maintains projects/campaigns in Workamajig
  • Manages project transactions (reviews + adjusts) on a weekly basis
  • Maintains professional internal and external relationships that meet company core values
  • Other duties, as assigned

Highest Level Tasks

Client Development/Business Development

  • Opens and architects scoping jobs in Workamajig
  • Reviews project SOWs and creates estimates

AOR + Program Discovery/Strategy/Planning

  • Assists in implementation of defined project/campaign architecture
  • Opens campaigns/projects in Workamajig
  • Creates project estimates in Workamajig
  • Assists in populating pricing template

Program Execution

  • Creates campaign/project work-back schedules
  • Finalizes project budgets
  • Works with Resource Manager + Subject Matter Experts to determine appropriate production vendors
  • Generates Purchase Orders and submits to Program Supervisor for approval
  • Works with Subject Matter Experts to coordinate production of all deliverables
  • Monitors daily expenditure of budgeted hours/expenses and informs relevant parties
  • Alerts team when projects reach 50%, 75% + 100% of total budget
  • Communicates with client about project execution details
  • Participates in weekly client-facing meeting

Client Relations

  • Keeps Account Manager/Account Strategy Director informed of issues that would impact client relationships
  • Helps Account Manager gather necessary files, documents and resources from client
  • Provides day-to-day project related client communication, again looping in Account Manager/Account Strategy Director as appropriate when conversations escalate to the overall strategy or client relationship level

Program Administration

  • Reviews status reports + provides feedback, as necessary
  • Issues all POs for client-related expenses within budgeted scope (based on an approved estimate)
  • Compares client-related vendor invoices to issued POs and resolves any differences (via invoice supplement form)
  • Assists Finance in preparing client invoices
  • Audits budgets upon project completion
  • Reviews project financial reporting and makes recommendations for improvement


  • Participates in weekly agency traffic meetings for assigned clients
  • Completes timesheet daily
